Air Force Museum Birthday Party Terms & Conditions

Please ensure you familiarise yourself with our Birthday Party Terms and Conditions, as itemised below:

  1. Final attendance numbers must be confirmed at point of booking via the booking portal. Should there be a need to alter final numbers you may alter online seven (7) days before the event.
    If there are alterations required for attendance numbers after the seven (7) days and no less than 5 days from the event. The parent/guardian must email programmes@airforceseum.co.nz outlining party attendance alteration and contact phone number, a Visitor Host will be in contact. Final numbers will be confirmed from this communication and billed via online portal; payment must be completed at this time. If there are no alterations given seven (7) days prior to the event, the attendance number given at time of booking will be the final attendee confirmation.
  2. Should you need to change the date of your booked party contact programmes@airforcemuseum.co.nz within seven (7) days prior to the event outlining the change requested and a Visitor Host Team member will be in contact to discuss and amend booking.
  3. The minimum charge and attendees for all birthday parties is for eight (8) children. We will run a party if you have less than eight (8) children attending, however the charge remains the same.
  4. The maximum attendee is capped at 15 children for all birthday parties.
  5. Payment must be paid in full on the day of booking via the booking portal.
  6. Cancellations within seven (7) working days of the event will incur a cancellation fee of 50%. Cancellations received prior to seven (7) working days of the event will not incur a cancellation fee. Should cancellation be required (as above process) contact us on programmes@airforcemuseum.co.nz and an email will be sent to confirm we have received your cancellation request. If the cancellation is within the seven (7) working days a 50% cancellation fee schedule will be sent to you via the booking portal and a 50% refund will be processed immediately. If cancellation is prior to the seven working days a cancellation will be confirmed via online booking portal and full refund will be issued immediately.
  7. No refunds will be given for ‘no shows’ on the day, except in extenuating circumstances, at the discretion of the Public Programmes Officer. In these circumstances, please email programmes@airforceuseum.co.nz and the Public Programmes Officer and team will communicate within 24 hours of receiving your email.
  8. Emergencies. All adults and children are required to follow all Visitor Host instructions. For H&S, we are required to always have at least one other adult from party with us.
  9. The party group responsibility is the parents throughout the activities and meal..
  10. Supervision. Children, three (3) years and under require a dedicated adult to supervise.
  11. Timing is critical to the smooth running of our parties. Please ensure you and the party guests are at the museum 15 minutes before the start time of your party.
  12. The Air Force Museum Visitor Host is the Birthday Party Supervisor, and all adults and children are required to listen and act upon their instructions.
  13. Food and drink (including takeaways) can only be consumed in the Café and Atrium areas.
  14. Food and drink cannot be taken into the museum for consumption. ONLY the party’s birthday cake can be taken into the café and snacks required due to medical reason which are NOT covered by café menu.
  15. The Air Force Museum is a non-smoking area, this included vaping. No Smoking is allowed on site.
